Administrative Coordinator – Technology

Schedule: Full-time | Location: Victoria (800 Viewfield Rd.)

This role ensures that all Monk Office Technologies (MOT) equipment sales are accurately invoiced in a timely manner, co-ordinates and liaises with leasing companies for all customer equipment leases, ensures accurate and timely invoicing of all MOT equipment routine copy charges, maintains customer equipment lists and copy block contract information in ERP system(s).

Education:

  • Minimum of 1-year administrative experience

Skills:

  • Proven track record of a strong attention to detail, forward thinking and success
  • Tech savvy with Microsoft Excel skills
  • High level of written and oral communication skills
  • Strong problem-solving skills and the ability to exercise sound judgement

What you will do:

  • Invoice MOT equipment sales
  • Complete MOT sales rep deal sheets for commission calculations
  • Administer lease buy-outs for replacement of customers’ existing machines
  • Administer and liaise with third party lease companies relating to equipment lease documentation, approval and funding
  • Maintain in ERP system(s) an accurate inventory of customer equipment on copy block agreements, including copy block rates (and rate changes), equipment information, and customer location
  • Maintain and invoice routine copy block charges based on applicable rates and equipment meter reads, requiring extensive and accurate data entry
  • Co-ordinate with MOT technicians required follow up for all equipment that is not electronically polling meter read information
  • Provide support to our sales and service teams, including the providing of information and analytics
  • Receive, follow up and respond to various inquiries from customers, sales representatives and technicians
  • Provide MOT support to CET, as needed, to assist with the closing and invoicing of service calls
